Frequently
Asked Questions
Q: How does Appointment Reminder Service work?
A: Appointment
Reminder Service places reminder calls based on the patient
name, phone number, date, and time of appointment obtained
from your scheduler or practice management system. You
can send this information to the CallNotice web site;
we can reach out and pick up an exported file at your
location, or if you are using a paper scheduler, load
the appointment information directly into the CallNotice
web site.
Q: How does the CallNotice Appointment Reminder Service trial work ?
A: Since no equipment or software is ever involved it is remarkable simple. It typically will take couple of hours of us working with someone in your office familiar with the scheduler, we run a few test calls and you are off and running!
Q: What costs do I have in setting up the trial?
A: None.
Q: Supposing at the end of the trial I decide not to continue the service?
A: No problem, no charges, no risks, or obligations, just "thank you" for trying the CallNotice service!
Q: Supposing at the end of the trial I decide to keep it, how long am I locked in for?
A: You can quit for any reason, at any time, all we ask for is 30 days written notice (an email is fine).
Q: How do I know it is working?
A: We will email you and your designated staff a report daily showing the notifications (telephone calls, email, and SMS Text messages) sent
with the completion status. Additionally, you can always logon to the web site and view real time reports indicating detail on progress of notifications.
You will also know it is working since you will have fewer "no shows," increased revenue, and that your staff is more productive since they no longer have deal with making reminder phone calls.
Q: Is APPOINTMENT REMINDER SERVICE HIPAA compliant?
A: Yes,
the CallNotice APPOINTMENT
REMINDER SERVICE meeting the
HIPAA privacy requirements. See the HIPAA
section and Business Associate Agreement for more detail.
Q: What does this cost to get started?
A: We're
glad you asked! There is no hardware,
software, software maintenance fees, or telephone charges
associated with this service. Set up and the first
30 days of service are free. One low all inclusive
monthly fee based on the average monthly number of appointments will continue, should you elect to keep the service
going. CallNotice strives to offer the most competitively
priced reminder service available.
Q: Will APPOINTMENT REMINDER SERVICE work in my Hospital or
large clinic?
A: APPOINTMENT
REMINDER SERVICE was designed with hospitals
and multi-provider healthcare groups in mind. We
designed features that indicate which doctor or department
the appointment is with in the reminder. The “press
1 to be connected” will
connect the patient to the scheduling group or department
that is providing the service.
Same day surgery usually requires more information
communicated so we offer the post reminder recording that
starts at the end of the reminder with something like:
“Please check in with patient registration located
on the first floor one hour before surgery, do not eat
anything for three hours before surgery, and remember to…"
If you have any questions call us at 201 722-1140.
Q: How do I change a recording?
A: Go to www.callnotice.com and
login to your account where you will have access to make
the changes. Feel free to call
us for support or assistance
if needed.
